HI. We are rolling out policies or a handbook for employees in Ontario (10). Alberta (1), and Nova Scotia (1). I looked at the list for essential policies in Ontario and there were about 50. In the US, we typically put them all in 1 handbook to have people sign off, but it sounds like in Canada it makes more sense to have individual policies.

Do we need to have each employee sign off on all 50 policies? How is it best to go about this? We have an HRIS called Rippling that we can use, but we also use a QMS system called Mastercontrol that we can use. It just seems like a lot to have each person sign off on 50+ individual policies. Is this customary?

Also, we have a different vacation policy that is becoming more and more popular with tech companies and especially in the US. We have Unlimited Vacation time. Employee still need to request time off but there are no caps and no limits to how much they can take as long as they get their job done. We had an attorney in Ontario review and define it in the offer letter so that if an employee leaves the company or is termed that they will still get their statutory amount upon termination. Do you have any drafts of an Unlimited Vacation policy? If not, we can work on that one on our own.

Also, how often do employees need to sign off on policies? Or is it only if the policy is modified?

    Thanks!

The 50 listed are recommended but not required by law. Effectively there are only 5 or 6 absolutely required by law, but we may recommend more for you given your industry. Could you please email us directly at rickt@bongarde.com and glennd@bongarde.com to share a little more about your company and Industry, the type of employees, etc.
